What is Apollo?
Apollo is meeting management software from Monarch360. It covers the whole meeting lifecycle: agendas built from reusable meeting types, approvals, agenda and minutes bundles, decisions, actions and search, in one central place.
Who is Apollo for?
Local governments, councils, enterprise boards and other public organisations that need structured, transparent and compliant meetings.
What are the stages of a meeting in Apollo?
Prepare agenda, publish agenda, prepare minutes, conduct meeting and publish minutes. The meeting overview shows which stage a meeting has reached and what comes next.
What are meeting types?
Reusable templates for recurring meetings, such as an ordinary council meeting or a briefing session. Each one sets the default title, description, location, organiser and agenda sections, so every meeting starts from the same structure.
What is a bundle?
A compiled set of meeting documents. Apollo produces agenda, minutes, late agenda and attachment bundles, each with its own approval status, and supports confidential items.
How do approvals work?
Agenda items and bundles are approved inside Apollo. Approvers see their queue in My Approvals, authors follow their items in My Submissions, and each approval keeps its history. The dashboard can be exported to Excel.
How are decisions recorded?
Each resolution has an ID and is recorded with its meeting, associated item, author and outcome, for example carried or lost with the vote count. The Decisions Dashboard can be filtered, searched and exported.
How are actions followed up?
Actions become tasks with an assignee, priority, status and due date. You can notify owners of overdue tasks, generate an actions report and export the list to Excel.
Can people find past items and decisions?
Yes. Apollo search covers meetings, agenda items, attachments and bundles, with filters such as report type, status, late or confidential, section, publish status, meeting type and location.
Does Apollo work with Microsoft 365?
Yes. Apollo is integrated with Microsoft Word, with robust integration with Microsoft 365 and SharePoint.
Does Apollo work with Monarch EDRMS?
Yes. Apollo has ready integration with Monarch EDRMS, Monarch360's electronic document and records management system.
Is training required?
Apollo is designed to be intuitive from day one, so people can create, edit and distribute meetings without technical skills. Monarch360 also configures Apollo to match your policies, roles and workflows.
Does Apollo support confidential items?
Yes. Apollo supports confidential items and confidential bundles for secure governance, alongside late items when needed.
Does Apollo keep an audit trail?
Yes. Apollo keeps a full history of edits, approvals and submissions, for accountability and compliance.
Can I use Apollo on a tablet or phone?
Apollo gives access to meetings and updates on desktop, tablet and mobile.
Does Apollo send reminders?
Yes. Apollo sends automated reminders and alerts for upcoming meetings, approvals and action items.
How is Apollo set up for my organisation?
Monarch360 provides custom implementation and onboarding, configuring Apollo to match your policies, roles and workflows. Contact us to talk through your requirements.
Can I estimate the savings?
Yes. The Apollo ROI calculator estimates cost savings, time saved and paper saved from your meeting numbers and costs. The results are a guide only, not a formal quote.
